How emails are counted
One number covers every kind of email: what you send and what you receive.
- Sent: every recipient of an email accepted for sending. An email to three recipients counts three.
- Received: each email that arrives, once, however many of your addresses it reaches. Spam, bounce reports and automatic replies don’t count.
- The month starts again on the day of the month you began paying, at midnight UTC; for an organization that never paid, on the 1st.
What happens at the limit
- On a paid plan, nothing stops: the emails above the plan’s are extra, at the plan’s price per 1,000.
- On Free, sending stops when the month’s emails are used up, until the month starts again. Received email always arrives, even past the limit.
- Other limits (users, domains, addresses, connected agents, contacts): adding one more is refused. Nothing that exists is removed.
- Administrators get a notice at 80% and another when the month’s emails are used up.
The Free plan
- Each marketing email sent on Free ends with a small “Sent with Mailroomly” line. Paid plans don’t add it.
- A Free organization nobody uses for 90 days rests: its email keeps arriving and nothing is deleted, and sending comes back a few minutes after someone signs in or uses one of its keys. Paid plans never rest.
Extras
- Extra users: on a paid plan, each user beyond those included costs €6 a month.
- Extra emails: €1.00 per 1,000 on Solo and Team, €0.80 on Business, billed once the month is over: with your renewal on a monthly plan, on their own on a yearly one.

Questions about plans
Do I need a card for the Free plan?
No. Free needs no card: sign up, claim a free address and send. You enter a card only when you choose a paid plan.
Can I change plan later?
Yes. A larger plan, or yearly instead of monthly, applies at once, and you pay the difference for the rest of the period. A smaller one applies at the end of the period you paid for.
Do AI agents cost extra?
No. Your AI agents connect at no extra cost: Free has one connected agent or app, and paid plans have no limit. Mailroomly runs no agent of its own, so there is nothing else to pay for.
What if we go over the month’s emails?
On a paid plan, nothing stops, and the emails above the plan’s are billed as extra. On Free, sending waits for the next month, and received email still arrives.
How does yearly billing work?
You pay ten months for twelve, from the day you choose it. The plan’s limits are the same as monthly, and extras are billed each month, from that day.
Do your prices include VAT?
No. Prices exclude VAT. In the EU, checkout shows your country’s VAT; a business outside Portugal with a valid EU VAT number pays none, and so does anyone outside the EU.
